Which venues suit an Asian Wedding?

Choosing a venue is without doubt a decision that will be the most important aspect of your wedding as this will set the scene for your wedding day.

Prepare a list with all the features that are important to you. Are any of the following important to you?

How to find your dream Asian Wedding venue?

With so many wondrous venues out there, it is essential you filter the vast venues on offer correctly. Here are a few things to think about before you start enquiring:

1) How many people do you plan on inviting to the big day?
You need a rough estimate as the venues vary greatly depending on capacities.

2) What budget did you have in mind?
We work with 150 venues so there is something to suit every budget and style of wedding, be it traditional or a chic, contemporary celebration.

2) Would you prefer to use your own suppliers?
Perhaps an authentic caterer rather than a bespoke menu by the venue’s in house caterer. If there are suppliers you are keen to use, opt for a dry hire venue or check if they are on the preferred suppliers list of your shortlisted venues.

3) Are there several guests flying from all over the world?
If so, a Central London location is imperative so guests can enjoy the sights of the city and all that is has to offer. Alternatively, if the majority of your guests are coming from abroad, you can opt for a venue close to the airport so to keep commute as short as possible.

4) Are you planning on having live entertainment?
Perhaps you would like your guests to arrive to the sound of shehnais and tablas, dance to a 10 piece band or in awe of a fire eating belly dancer, if so, Historic palaces and listed buildings are likely to be stricter with their restrictions so it would be advisable to look at contemporary venues.

5) Decide on a wedding date.
If not a specific date, perhaps a season or ideal month. This will help eliminate venues with no availability.

(6) Are you looking to have the civil ceremony and wedding reception at the same venue?
Some venues are not licensed for civil ceremonies. If your dream venue is not licensed, will you be happy to book your ceremony elsewhere and keep the reception there? If not, do not waste time with those venues.

7) Look at your Pinterest board.
There is a reason why you have pinned that picture. If the majority shows venues that are a little more unusual i.e. large atmospheric converted warehouse, then tailor your search for that rather than a traditional banqueting hall.

Dry Hire VS All Inclusive

Choosing a venue space for your event can be a difficult task – there are so many options out there that is can be hard to decide which one would work for you. If you need some help narrowing down your option, one way to consider venues is through whether they are dry hire, wet hire or all-inclusive spaces.

Dry Hire

When booking a venue, the term ‘Dry Hire’ means that you pay for the use of the venue space only, without any additional features available. Therefore you would have to organise and externally outsource the catering, furniture, entertainment and any installations e.g. audio-visual, decorations and theming, all of which would normally be sourced by the venue. Opting for a Dry Hire venue provides a greater control and higher level of flexibility with which suppliers you use.

Different venues will include different things within their Dry Hire (in-house furniture such as tables and chairs) and have different rules (some venues require that you hire their porters, as they know where everything goes), so it is important to understand this and know what to expect from your venue from the very beginning.

Wet Hire

By opting for a wet hire venue, you can benefit from the venue’s catering services, their event design team and any audio-visual services they provide. When using the venue’s regular suppliers, the suppliers will be familiar with the layout and access restrictions of the venue, ensuring a smoother run event.

All inclusive

With today’s busy lifestyles, opting for an all-inclusive venue is by far the most common approach. Yes, these all-inclusive wedding venues are exactly as they sound: all. inclusive.

Planning and putting together the specifics of a full-scale event, which a wedding is, takes numerous hours and event expertise. If you’re feeling overwhelmed by all the decisions involved in planning a wedding, an all inclusive venue is recommended. You will benefit from the expertise of the venue’s Wedding Co-ordinator saving you time and stress. An all inclusive wedding package should include coordination of the entire event and all the vendors for a successful wedding (caterer, baker, full event staffing including bartenders and cloakroom attendant, DJ, decor and everything in between).

As with a Dry Hire venue, not every all-inclusive wedding venue will provide a photographer or florist, for example, as their offerings will vary greatly. Make sure to be clear on which services are included and which you will have to source (and pay for) separately.

Once you have a shortlist of Asian Wedding Venues that meet your requirements, we will schedule in your site visit. A site visit will give you a chance to hash out some of the nitty-gritty details and make a final decision.

Questions to ask/details to confirm during your show round of the wedding venue

1) Is there a corkage charge? If so, what is the cost?
Venues can charge for corkage by package, per head/ bottle or very rarely by per bottle opened. If you are choosing a dry hire venue, there should be no corkage charge. Please refer to the below for more information on what a dry hire venue is.

2) Do we have exclusive use of the venue?
Some venues allow for more than one event to take place. Double check with the venue, so you are not startled by another wedding on your special day. One way to guarantee exclusivity is to ensure the contract states exclusive use of all the agreed rooms.

3) Is there onsite parking available? If not, how close is the nearest carpark? Will my guests have a discounted parking rate?

4) Can I use my own suppliers? If not, is there a preferred suppliers list?
Do not be put off with venues that have a preferred suppliers list as some lists are quite extensive (some have gone up to 90!). There are a number of benefits using the venue’s suppliers, including assurance the supplier would have worked at the venue multiple times which will enable a smoothly run event. Furthermore, venues only work with suppliers that reflect their venue in a positive light so trust in their expertise.

5) What external Asian Wedding caterers do you allow? Are there any fees for using external caterers?
Premium venues tend to only work with premium caterers as they will be a reflection of the venue on the day to your guests.

6) Are there any restrictions?
To name a few examples: confetti, smoke machines, live entertainment, noise, fireworks, naked flame (tea-lights, candelabra dinner candles).

7) What time are you licensed until? Do you offer a late licence? If so, what is the charge?

8) What are my live event and access timings?
Live event is the time when your guests can arrive at the venue and when they must leave by. Access timing is timing allocated for suppliers to set up and de rig. If you require large scale production, you might need to pay for set up the night prior. Some venues combine the timings (live event and access) so be sure to clarify. Ensure timings, both live event and access timings, are included within your contract.

9) Are you licensed for civil ceremonies? If not, are there licensed venues close by?

10) What furniture do you provide? Is there an inventory?

11) Can we hang drapes/ flower garlands/ eucalyptus/ fairy lights from the ceiling?

12) Do you allow for live entertainment i.e. Jazz band? Do they have to adhere to a decibel limit? What time can they play until?

13) Do we get a menu tasting? When will this be?
Quite often, venues will only provide a menu tasting once the contract has been signed. If tasting of the food prior is a key part of your decision whether to proceed with the venue, check out their cafe/ restaurant. Worse comes to worse, you might have to pay for a menu tasting prior but this can usually be deducted from the final bill.

14) What chairs do you provide? Are we allowed to bring our own chairs?

15) Is there a dedicated/ private entrance for my guests?

16) What are the deposit and payment terms?

17) Are there any additional costs (civil ceremony fee, turnaround charge, cake-cutting fee, cleaning fee, security fee, VAT, service charge etc.)

18) If booking an outdoor venue, is there a wet weather plan?

19) Have your Pinterest board to hand! Ask the Wedding Co-ordinator if your board is realistic/ how would it be possible within their venue.
